THIS AGREEMENT (hereafter “Agreement”) is made and entered into by Snap Booth (hereafter “Provider”) and (hereafter “Client”).

Initial Payment, Fees and Cancellation Charges

A non-refundable initial deposit payment of £50 is required to secure your booking. Your event date is not reserved until the deposit has been received.

The Client must ensure all personal, billing, venue and event information supplied is correct and complete. If incorrect details (including date, time or venue) prevent the Provider from delivering the service, no refund will be due.

Industry-Standard Cancellation Policy:

  • The £50 deposit is always non-refundable.
  • 50% of the total booking value becomes non-refundable as soon as the booking is confirmed.
  • 100% of the booking value is non-refundable within 30 days of the event date.
  • No refund is due for no-shows, incorrect details, failure to provide access, or delays caused by the Client or venue.

Changes to date, time or venue: Any requested change is subject to availability and may incur an administration or price adjustment. If we cannot accommodate the change, any cancellation will follow the policy above.

Extras: Extras may be cancelled only if no personalised items have been produced. After the event, extras cannot be cancelled under any circumstances.

Full Payment and Late / Non-Payment

The remaining balance (total booking cost minus the £50 deposit) is due in full no later than 7 days before your event date.

Payments can be made at any time online via the Orders page or via BACS. You will receive payment reminder emails if your balance is not paid by the due date.

If the full balance has not been received at least 24 hours before the event start time, the Provider reserves the right to cancel the booking and treat this as a late cancellation by the Client. In this case:

  • The booking may be terminated and the date released for other clients.
  • No refund of any monies paid (including deposit and any further payments) will be due.

The Client acknowledges that all payments are subject to the cancellation and refund terms in this Agreement. A payment dispute or chargeback does not override these terms. If a dispute is raised, the Provider will supply full evidence of the booking and service provided, including booking records, emails, contracts and photographs. Should any payment be reversed, the Client remains fully liable to repay the full outstanding balance along with any fees or losses incurred during the dispute process. The Provider may pursue recovery of these amounts, and the Client will be responsible for all associated costs.

Venue, Access and Location

It is your responsibility to ensure you have provided the venue's contact information, address, name, and postcode for our staff to find you. We require that the venue allows reasonable access for loading and unloading, and suitable parking once the booth and equipment have been unloaded. If parking for loading is restricted, you will be liable for any fines that occur as a result and/or time used seeking a suitable location. We cannot be held responsible for any errors or delays resulting from incorrect or missing address details.

The Client must ensure the venue has approved the Provider’s attendance and can offer a safe, dry, level space with a standard 13A power socket within 2 metres.

If access is blocked, unsafe, restricted or not as described at the time of booking, the Provider may be unable to set up. In such cases, the full hire amount will remain payable and no refund will be due. Time lost due to venue or Client delays will not be added to the hire period.

Venue Responsibility

It is your responsibility to ensure that the venue has agreed for us to be in attendance at their venue and at the agreed time. This includes ensuring that there is access to enter the venue, a dry and safe space on a flat, level surface, and a standard 13A power socket within 2 meters of where the services are to be. If there is insufficient space or access for us to safely set up, or no suitable power, we may be unable to fulfil the booking and reserve the right to leave. In these circumstances, the full hire amount will remain payable and no refund will be due.

Set-up of Services, Idle Time & Overtime

We will arrive to set up approximately 60 minutes before the hire period is due to commence. If you require the booth to be set up earlier and not in use (idle time), an additional charge may apply as stated in your booking confirmation.

Subject to staff and schedule, additional operating time may be agreed on the day at our standard overtime rate. Any overtime must be agreed with our staff and paid before the extension starts.

Hire Period

The hire period will be for a set period, as specified in your booking confirmation and as agreed by both parties beforehand. In addition, this will cover the setup time (typically around 60 minutes) and a 30-minute pack down time. Use will commence at the agreed time and finish at the agreed time in the booking confirmation unless delayed by technical difficulties on our behalf, in which case we will provide the service for the set period once rectified.

If access to the venue or start time is delayed due to the venue or Client, we may not be able to extend the hire period. No refund will be due for any lost time caused by delays outside our control.

Damage to Equipment & Client Responsibility

The Client acknowledges that they are responsible for providing a safe environment for the Provider’s equipment and staff at all times during the hire period, including set up and pack down.

The Client agrees and accepts full responsibility for any loss of or damage to any Snap Booth equipment, whether caused by:

  • The Client themselves;
  • Any of the Client’s guests or attendees;
  • Venue staff or contractors working at the venue; or
  • Any other person present at the event.

“Equipment” includes, without limitation, the photo booth, printers, cameras, lighting, backdrops, props, stands, cabling, cases and any other items supplied by the Provider.

Any damage, loss, theft, or excessive soiling (including but not limited to liquid damage, breakage, or misuse) occurring during the hire period must be reported immediately to Snap Booth. The Client agrees to reimburse the Provider in full for:

  • The reasonable cost of repair; or
  • Where repair is not possible or economical, the full replacement cost of the damaged item(s) on a like-for-like basis;
  • Any associated costs reasonably incurred by the Provider as a result of the damage (including additional travel, call-out, or hire of substitute equipment); and
  • Any demonstrable loss of business directly resulting from the damage where future bookings must be cancelled due to the equipment being unusable.

The Provider reserves the right to temporarily suspend or permanently terminate use of the equipment during the event, without refund, if in the opinion of our staff the equipment is being used in a dangerous, negligent or inappropriate manner or there is a significant risk of damage.

The Client must ensure children are supervised at all times around the Provider’s equipment. Excessive liquids, drinks or spills near or on the equipment may result in immediate suspension or termination of the hire with no refund. Any downtime caused by guest interference, unsafe behaviour or misuse of the equipment will not be compensated or added to the hire period.

Photos, Usage Rights & Data Protection

Unless you tell us otherwise in writing before the event, the Client grants Snap Booth a non-exclusive, worldwide licence to use photos and videos taken at the event for our own marketing and promotional purposes (including our website, social media and printed materials).

The Client is responsible for informing guests if they do not wish their images to be used for promotional purposes and for notifying us. We will always respect a reasonable request not to use specific images where possible.

Digital copies (for example via an online gallery or download link) will be provided with 7 working days of your event date.

Termination of Hire

Snap Booth will not tolerate any abuse or threatening behaviour towards our employees. If this occurs, Snap Booth reserves the right to terminate the hire, with no refund payable for hire time that has been cut short. We are providing a service to you, and our staff should be treated with the respect they deserve.

Loss, Injury & Liability

  • We accept no liability for loss of or damage to property belonging to or travelling with any member of any group, including watches, jewellery, phones, cameras, or clothing.
  • We accept no liability for indirect or consequential loss, including loss of enjoyment, loss of opportunity or loss of profit.
  • Nothing in this Agreement excludes or limits liability for death or personal injury caused by our negligence, or any other liability which cannot be excluded by law.

Subject to the above, the total liability of Snap Booth arising out of or in connection with this Agreement shall be limited to the total amount paid by the Client for the booking.

Events Beyond Our Control

Snap Booth cannot be held responsible for any circumstances that may prevent us from attending your event; these may include but are not limited to, severe weather conditions, traffic delays, breakdown of our vehicles, sickness, accidents, or equipment failure. In the case that we cannot attend or fulfil your hire due to events beyond our control, we will contact you as soon as possible and will liaise directly with you (or your nominated contact) to try to resolve them promptly.

If we are unable to attend or provide the hire due to events beyond our control, our liability will be limited to the refunding of all monies paid, including the deposit. No further compensation will be payable.

General

This Agreement, together with your booking confirmation, forms the entire agreement between the Client and Snap Booth. Any changes must be agreed in writing.

If any part of this Agreement is found to be invalid or unenforceable, the remaining parts shall remain in full force and effect.

This Agreement applies to this booking and, unless we state otherwise, to any future bookings made by the Client with Snap Booth. At the time of any future booking, the Client will have the opportunity to review the then-current version of this Agreement and confirm their acceptance. The version of this Agreement in force at the time of each booking will govern that booking.

This Agreement is governed by the laws of England and Wales and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
